Atlantic Health System is seeking a full-time Administrative Assistant for the Integrated Care Department at Corporate to work 8am-4pm.
Acts as a representative for the department in a courteous and professional manner and completes job functions with minimal supervision.
Provides clerical and secretarial support for the department including answering phone calls, drafting/editing/updating documents (meeting minutes, agendas, presentations, spreadsheets), maintaining department paper and electronic files, ordering of office/ departmental supplies, service requests, and responsibility for office spaces.
Assists with meeting and program preparation and management including room bookings, catering, set-up/clean-up, promotion/outreach, program records and statistics.
Provides calendar and meeting management oversight including, incoming and urgent requests, identifying attendees and availability for new meetings, and pro-actively looking ahead at day/week for department and manager schedules and potential conflicts.
Assists with accounting functions of the department including invoicing, order tracking, payroll and financial reports as well as maintaining proper record keeping of all the above.
Functions as a support to the Community Health team in accessing work-related resources or information, supplies, team engagement (birthdays, Workplace, events), etc..
Complete other duties assigned by supervisor or manager.
High School Diploma required
Minimum 3 years previous administrative assistant experience in a fast-paced environment preferred
Strong computer skills, including Microsoft Office Suite
Ability to multitask and prioritize projects
Excellent oral and written communication skills
Critical thinking and problem-solving skills
Adaptability to fast-paced, dynamic environment
